WELCOME TO ALL THE NEW ENROLLED LEARNERS AND PARENTS FOR 2020. IT IS THE START OF A BRAND NEW CHAPTER IN YOUR LIFE. THANK YOU FOR CHOOSING CHARLTON VOS COLLEGE.

The Registration Process For A New Learner.

The following documents MUST be submitted with the application form:

  • Birth certificate of learner
  • Most recent report card
  • Two ID photos
  • ID copies of mother, father/guardian and a relative
  • Transfer Card (Graduation Certificate Gr. 0)
  • Payment of the Registration fee confirms placement in a class. No spaces are reserved without parents having submitted the fully completed application form, with all necessary documents and paid the registration fee at the office.
  • Registration fee is paid yearly.
  • The Registration fee is NOT REFUNDABLE at any time.
  • Registration and school fee is not refundable in case of a cancellation of registration.
  • The Application form includes an Indemnity form which must be fully completed and signed by parents to permit a child to attend any excursion organised by the school and transport to and from an excursion.
  • All pupils and parents are liable for the registration fees and school fees for the month even if your child only attend for 1 or 2 days of that specific month.
  • All school fees must be paid on or before the 3rd of every month. NO arrangements can be made to pay later. If you make a payment towards the school fees, please ensure that you use the correct family code reference, for the payment to be allocated correctly.
  • The Parent contract attached to the application form, that is signed with the College is valid for 1 (one) academic year - in the contract it is clearly stipulated that if the contract were to be canceled, 1 (one) full calendar month's written notice must be submitted to the office as cancellation.

Our School Fees Policy

A legible and comprehensible statement are printed and issued to all students on monthly basis. This statement indicates all debits and credits and parents/guardians must make sure to carefully read the statement and should they not agree with it, respond immediately in order to resolve all disputes without delay.

NO CASH accepted for school fees or registration at our offices as this puts the school staff and learner at and our security is one of our foremost priorities and should strictly be adhered to. On exception and with approval by the Director of Finance - Mrs. Evette van Wyk, a cash payment for School fees and/or Re-registration will be accepted where a receipt will be immediately issued to the person paying out of a duplicate book so that the parent / guardian can have the original receipt and the auditors the duplicate in the book for reconciliation purposes. The cash will then be deposited directly into the shools' bank account with the necessary reference (family code provided by Principal Primary), where the payment will be captured accordingly as soon as it reflects on the school's bank statement.

It is the parents / gaurdians responsibility to ensure that they use the correct reference when making a payment towards Charlton Vos College and to use the correct banking details. New enrolled learners will receive a sms after the learner details are captured on the system, with all the necessary payment details. Current learners receives statements each month around the 25th for the next month, with their reference codes indicated on the statement, the school's banking details and the accountant's email address.

The leaner’s family code reference must be clearly indicated in the reference block, whereupon the accountant will work from the system we are using - Principal Primary and capture it accordingly as it appears on the system (reflecting on the system exactly like on the schools' bank statements).

DEBIT ORDERS / Stop ORDER can be arranged by the parent / guardian with their bank and again make sure that the parent banking institution use the correct family code as reference.

The same applies as in Option 1, where the family code reference of a leaner must be clearly indicated. Payments from other bank to ABSA should be paid in such a manner that the money reflects on the school's bank statement not later than the 3rd of each month in advance.

The latest bank statements are downloaded onto the system each morning, which reflects the payments made as on the bank statements of the previous day. If the correct reference was used, it will show on the system and would automatically be allocated to the correct learners account. Therefore it is not necessary for the proof of payment to be send to the accountant as long as the correct reference is used. The proof of payment should be kept safe that if a query arises, the person who made the payment can supply the accountant with the necessary payment history.

Please take note that we do not prefer parents / guardians using the payment method of doing a payment at the ATM as the reference do not appears correctly on the system using for capturing of payments.

Fees are payable in advance by the 3rd of each month for 11 months of the academic year. This excludes re-registration fees (current students) or registration fees (new applicant). Please take note that the money must show in the school's bank account on the 3rd of each month. All fees must be paid by the 3rd of each month in ADVANCE. Interest and penalty fees of 15% will be charged on ALL overdue accounts. The school reserves the right to refuse the learner attendance should areas reflect. Should it be necessary to hand the account over for legal action or collection, the parent / guardian will be liable for all such costs arising on an individual account as stipulated in the signed agreement (legal contract) entered into between the parents / guardian and Charlton Vos College.

School Fees Discount Structure

Charlton Vos College offers a discount for fees paid upfront.

Payment of Fundraisers, Outings, Fun days, etc.:

Then money for the above-mentioned should be in cash at the register by the learner during register period. The register class teacher will note the payment on the necessary class list and send the money to the office inside his / her money bag beofre the end of register period. Please send the correct amount of money to school as change will only be given to the learner the next day during register period if needed.

Payment of Camps:

The money must be paid in cash at the Class Teacher only, before school or during register period. A cash receipt will immediately be issued to the learner making the cash payment. The receipt must please be kept safe for future reference.

Discounts

If the FULL amount is paid before the end of January (the money must show in our account before the end of January), you will qualify for a 10% DISCOUNT.

OR

If the FULL amount is paid before the end of February (the money must show in our account before the end of February), you will qualify for a 7.5% DISCOUNT.

PLEASE NOTE:
You will forfeit the discount if the learner leaves our school during that specific year. The discount is ONLY valid, if paid for 11 months in FULL for that specific year.

Queries:

Since we want all correspondence on paper in order to follow up / refer to a situation:

  1. Send an e-mail to the accountant fees@cvc.africa where upon she will gladly assist in sorting out your query.
  2. Alternatively the parent can come to school during office hours and see the accountant in person to handle the query.

Refunds:

If a refund is needed by a parent / guardian an e-mail should be send to the accountant fees@cvc.africa whereupon receiving it the accountant will send back an Application for a Refund from where all needed information have to be completed and send back as soon as possible. After receiving back the completed form the accountant will get all the necessary documents (latest statement reflecting credit to be refunded, parents Full banking details and motivation why the refund is needed). There will be a R200.00 administration fee deducted from the amount to be refunded, before refund is done.

Admission Policy

Charlton Vos College of Education is a non-racial, non-denominational, bilingual institution that caters for learners irrespective of race, colour or creed. We are a Christian school with Christian principles. The medium of instruction is English, with Afrikaans as an additional language. Every family applying for admission at Charlton Vos College shall be given an equal opportunity, irrespective of gender, race or cultural background, but will follow all school rules.

Admission to the college will be conditional upon the following:

  • The leaner meets the minimum academic standard of the grade being applied for. A placement assessment appropriate for the Grade may be administered by the Colleges staff to determine the leaner’s academic profile.
  • That the leaner and parents agree and able and abide by the college’s code of conduct.
  • The parents have fully completed and signed the Parent Contact and returned it to the College.

  • No buttons are allowed to be missing on shirts or blazer.

  • A blazer must be worn over a jersey or pull overs.

  • All learners MUST dress appropriately during civvies days.

  • No leaner will be allowed to participate in any event, without the correct uniform.

  • Learners may wear a vest underneath their winter uniform – but ONLY white vests.

  • When wearing a Blazer, you must wear Winter Uniform.
